THE BRIEF
Sheppee International required a more efficient way for field engineers to record repair and maintenance visits for bottle-making and glass handling machinery. Their existing carbon paper process was slow, difficult to manage and prone to inaccuracies. Axisware developed a bespoke digital maintenance and sign-off system that allowed engineers to complete reports on tablets, synchronise data back to the server and integrate maintenance records with existing ERP processes.
Introduction
The client had been relying on a traditional carbon paper reporting system for on-site engineer visits. While familiar, the process created several operational headaches. Reports could be difficult to read, multiple copies had to be handled manually, and the paper-based workflow added unnecessary cost and administration. Sheppee International wanted to modernise this process with a digital system that would be easy for engineers to use in the field while improving the accuracy, speed and accessibility of service records.
Solution
Axisware designed and developed a bespoke digital maintenance reporting application using Microsoft SQL and .NET. The system enabled engineers to record work completed during service and repair visits directly on a tablet, removing the need for handwritten carbon paper forms. Once completed, reports could be synchronised back to the central server, ensuring the business had immediate access to up-to-date maintenance information.
The solution was built with ease of use as a priority, helping engineers complete visit reports with minimal friction while on site. To support future growth, the application was developed with a modular architecture so additional features and functionality could be introduced over time. The platform also benefited from Axisware’s wider framework approach, making it possible to connect with tools such as Workflow and Messaging, alongside broader configuration options such as scheduled messages, automatic status changes, internal reporting and database field expansion.

Benefits
Faster engineer reporting
Engineers could complete maintenance and repair records digitally on-site, reducing paperwork and speeding up the reporting process.
Improved accuracy and legibility
Replacing carbon paper forms with digital entry made reports easier to read, more consistent and less open to interpretation.
Better data security and control
Digital records provided a more secure alternative to paper forms, reducing the risk of copied, altered or misplaced reports.
Integrated operational workflow
By synchronising data back to the server and integrating with existing ERP systems, the solution created a more connected and seamless service management process.
Scalable platform for future enhancements
The modular architecture meant the system could evolve alongside the client’s needs, rather than becoming another fixed-function tool.
Reduced paper use
Moving away from carbon paper supported a more efficient and environmentally conscious process.
Conclusion
By replacing a manual carbon paper process with a bespoke digital maintenance and engineer sign-off system, Axisware helped Sheppee International improve the way on-site service visits were recorded and managed. The result was a more efficient, accurate and scalable solution that gave the client better visibility of engineer activity while laying the groundwork for future digital improvements.
