Welcoming The Rainbow Centre, Scarborough

We are delighted to welcome The Rainbow Centre in Scarborough as an Axisware customer. We are developing a bespoke CRM and client support management application to help the team bring together the people they support, the services they provide and the work that needs to happen next.

For a community organisation, a visit can involve several kinds of help. Someone may need practical support today alongside a conversation, a referral or a follow-up for another day. Our aim is to make recording and coordinating that work straightforward, while keeping the person at the centre of the record.

Welcoming an organisation rooted in Scarborough

The Rainbow Centre provides practical help and support for people in Scarborough. Its services include listening, advocacy, referrals, food and clothing support, alongside facilities for people facing difficult circumstances. Its food provision and community café are also part of the welcome it offers.

As a Scarborough software business, we are pleased to be working on a project with such a direct connection to our local community. The application we are developing, RainbowCentreCRM, is being shaped around the Centre’s own language and activities: clients, key workers, support cases, food parcels, clothing support and the café/day centre.

A bespoke CRM for client support and casework

At the heart of the application is a client workspace. This brings contact and household details together with relevant support information, ongoing cases and a chronology of recorded activity. Staff can find a client, understand the current position and move into the next task from the same workspace.

The purpose is to make continuity easier. A key worker should be able to see what has been recorded, which work is still open and what follow-up is due. Referrals, needs assessments, case notes and service interactions each have a place, with the distinction between ongoing casework and an individual service kept clear.

We are also including financial planning records, with monthly income and expenditure information and a clear balance or shortfall. This gives staff a structured place to record the figures used in their work with a client.

Recording a support visit in one place

One of the main workflows is a support checkout. Staff can select the activities involved in a visit, complete the relevant details and save them together. The client workspace remains close at hand, and the resulting support activity is linked to the client’s chronology.

This covers food allocation, clothing support, café/day-centre activity and debt and money services, as well as casework and follow-ups. Where appropriate, staff can associate support with a partner organisation, keeping that relationship visible in the record.

The service catalogue is designed to be manageable by authorised staff. Categories, services and outcomes can be maintained as the Centre’s work develops. On a phone, the checkout is arranged into steps for choosing support, reviewing the selection and completing the details.

Connecting meal requests with the kitchen

We are producing a kitchen workflow alongside the client and casework tools. A meal request becomes a numbered ticket, with a requested date and time, and appears on a kitchen board. Staff move it through Waiting, Preparing, Ready and Collected, using buttons or the board’s drag controls.

A separate customer display shows order numbers under Being prepared and Ready to collect. Client names and dietary information are excluded from that display. The intention is to give the kitchen a clear operational queue and people waiting for a meal a simple way to see when their order is ready.

Managing volunteers, partner organisations and donations

The application also brings together volunteers, partner organisations and donations. These records sit alongside the client support workflows, giving staff a place to maintain the community relationships and contributions that surround the Centre’s work.

An overview links directly to active clients, open cases, overdue follow-ups, review work and the kitchen queue. Staff can move from a summary into the records requiring attention. Client-register exports are included for authorised users who need to work with that information outside the application.

Access is organised around staff roles, with controls for confidential notes and recorded contact permissions. The interface is being developed for desktop, tablet and phone use, with readable layouts, keyboard controls and appearance choices. These are practical parts of helping different members of the team use the system in their daily work.

Software built around the Centre’s work

This project reflects our approach to bespoke software development: start with the activities an organisation needs to carry out, then build clear, connected tools around them. For the Rainbow Centre, that means bringing client support and everyday service delivery into one application.

The work is in development. We look forward to refining the application and preparing it for use, with the aim of supporting the team in the valuable work they do across Scarborough.
